To strengthen our team, we are looking for a committed and well-organized professional to join us immediately or by agreement in the role of
Service Desk and Executive Assistant in the Family Office (80–100%)
In this multifaceted role, you serve as both the first point of contact at the front desk and the right hand of the executive management. You will coordinate internal and external appointments, manage day-to-day administrative tasks, and ensure professional, discreet communication at all levels. This role requires a high level of autonomy, discretion, and a client-focused mindset.
Your Responsibilities:
- Managing the front desk, office organization, and infrastructure (reception, mail distribution, delivery service, etc.)
- Providing administrative and project-specific support to the executive management (travel management, events, presentations, private errands, correspondence, appointment scheduling, etc.)
- Handling general correspondence in German and English
- Coordinating phone calls and meetings, organizing client meetings and business trips
- Invoicing and follow-up on outstanding payments
- Managing physical and digital files
- Monitoring deadlines and maintaining task tracking
- Supporting the coordination of various projects
Your Profile:
- Completed commercial apprenticeship or equivalent qualification
- Several years of experience in a similar administrative or assistant role
- Excellent written and spoken German and good English skills
- A team-oriented, trustworthy, and dedicated personality with strong customer service and organizational skills
- Proficient in MS Office and modern communication tools
